What "auto-seed" actually does

Trial Balance ~250 GL accounts 1010 Cash 1020 Bank 1200 AR 1500 Inventory 1700 PPE 2100 AP 3000 Equity 4000 Revenue … 242 more … GL prefix mapping A-100 Planning3 procs B-100 Cash & Bank← 10*, 11*, 12*5 procs · 2 GL rows C-100 Receivables← 12*, 13*7 procs · 1 GL row D-100 Inventory← 14*, 15*8 procs · 1 GL row E-100 PPE← 17*, 18*9 procs · 1 GL row … 7 more workpapers (F-100 to L-100) …79 procs total

Step-by-step

  1. Open Workpapers tab

From the job, click the Workpapers tab (visible only on audit-template jobs). On a freshly imported TB, you'll see a blue banner: "12 workpapers ready to seed". Click Auto-seed now.

  2. What happens internally

The service walks every workpaper template (A-100 through L-100), matches GL-account prefixes (e.g. 10*, 11*, 12* → Cash; 17*, 18* → PPE), pulls the matching TB rows into audit_workpaper_lead_schedules, instantiates each template's procedures into audit_workpaper_procedures, and stamps assertion tags + ISA references.

  3. Materiality flagging

Each lead-schedule row is compared against performance materiality. Rows above threshold get a High flag — these are your "must-test" balances. Rows below get a Low flag — sample-based testing only.

  4. Open the hub

You're redirected to /jobs/{id}/workpapers — the workpaper hub. 12 cards in a grid. Each shows status (draft → preparer_done → … → eqcr_done → locked), risk dot, materiality, progress bar, open review-points count.

  5. Drill into one

    Click B-100 Cash & Bank. You'll see 6 tabs: Overview · Lead schedule (auto-pulled) · Procedures (5 ticking checklist) · Samples · Cross-refs · Sign-offs. The lead schedule already shows your CASH + BANK accounts with PY · CY · variance%.

Try this

On a job where TB is imported, click Workpapers → Auto-seed. Watch the progress dialog: 12 workpapers · 79 procedures · ~250 GL rows mapped · in 1.8 seconds. Then drill into B-100 Cash & Bank — the lead schedule is already populated with the bank accounts pulled from your TB.

Watch out

If the client uses non-standard GL codes (e.g. 9999 for Cash because the chart was migrated from a legacy system), some accounts won't auto-map and will land in the "Unmapped" bucket. Manually re-assign them via the Workpaper drag-and-drop screen, then click Refresh from TB.

Tip — re-runnable

Auto-seed is idempotent. If you upload a corrected TB later, you can click Refresh from TB on each workpaper to re-pull the lead schedule without losing your manual notes or sign-offs. Procedures and ticked items are preserved.

What's next

12 workpapers + 79 procedures + 250 mapped accounts in under 2 seconds. Now the auditor walks each workpaper, performs the procedures, attaches evidence, and forms conclusions. Phase 4 is the field-work workflow.
